PMO and project controls

PMO and project controls

One version of the schedule, cost, risk and documents for developers, owners, PMCs and contractors in KSA and the GCC. We set up the PMO, run it with you, or review the one you have. Our core service is Rapid BIM; PMO services sit alongside it.

The problem we solve

On many projects the schedule sits in one file, the cost report in another, and the RFIs and submittals in a third. Each is owned by a different person and updated on a different day. Reports reach the steering meeting late, and the numbers do not always agree.

A PMO fixes that by agreeing the rules once: who reports what, when, from which source and to whom. With that in place, delay, cost movement and open design issues show up early enough to act on, not after the cost or the time has already been lost.

What we deliver

  • PMO set-up and governance: roles, responsibilities, reporting lines, a PMO plan and the project procedures
  • Project controls: schedule baseline and updates in Primavera P6, progress measurement, earned value and look-ahead plans
  • Cost control and cash-flow forecasting, with budget, commitments, forecast to complete and payment tracking
  • Risk register and change and variation registers, kept current and reported each cycle
  • Design and document management: common data environment (CDE) set-up, submittal and RFI tracking
  • Contractor and consultant performance reporting against the agreed programme and deliverables
  • Executive dashboards in Power BI, with weekly and monthly reports
  • BIM-linked 4D progress where the project has a model, using our Rapid BIM and 4D planning services

Engagement models

Pick the level of involvement that fits the project. We agree the scope in writing before work starts.

01Embedded PMO teamOur PMO staff work with your project team, in your office or on site, and run the controls cycle day to day.
02Remote project controls deskSchedule, cost and risk controls and reporting run from our Riyadh office on the data you share, with regular review meetings.
03Health-check and auditA time-boxed review of your existing PMO set-up, schedule, cost reports and registers, with a findings list and recommended fixes.

How we work

  1. Agree scope and governance

We confirm the project structure, reporting lines, decision rights and the reporting calendar with the project leadership.

  2. Set the baseline

Schedule baseline in P6, cost baseline and cash-flow forecast, and the registers, all tied to the same work breakdown.

  3. Run the reporting cycle

Collect progress, measure it consistently, update the forecast and issue the weekly and monthly reports.

  4. Control change and risk

Log risks, changes and variations with owners and dates, and show their effect on time and cost.

  5. Review and hand over

Lessons and records are packaged so the project team or the employer can continue without us.

Who it is for

Developers and owners who want one reliable view of a programme of projects, and a PMO they can scale up or down.

Project management consultants (PMCs) who need extra controls capacity or a remote controls desk on a mandate.

Contractors who must report to an employer in a set format, or want their own controls in order before an audit or a dispute.

We work with teams in KSA and the GCC.

Standards and practice

Our PMO practice is aligned with PMI PMBOK Guide practice, and our PMO documents follow ISO 21500 guidance on project management.

Your contract and the PMO plan agreed at set-up have the final say on procedures, formats and responsibilities.

Frequently asked questions

Do you replace our project manager?

No. The PMO supports the project manager and the steering group with information and controls. Decisions and authority stay with your project governance.

Which tools do you use?

Primavera P6 for schedules, spreadsheets and Power BI for cost and dashboards, and the common data environment your project already uses. If the contract names a tool or a format, we work in that.

Can the PMO run remotely?

Yes. The remote project controls desk covers schedule, cost, registers and reporting from the data you share. Site visits can be added where the scope needs them.

How does this relate to Rapid BIM and 4D?

Rapid BIM is our core service. Where a model exists, we can link schedule progress to model elements for a 4D view, so reports show progress against the model. See the planning and 4D page for that scope.

Do you follow PMBOK and ISO 21500?

Our practice is aligned with PMI PMBOK Guide practice and ISO 21500 guidance. The procedures we apply on your project are written into the PMO plan you approve.
